Consultant & Service Partner Participation Guidelines

We welcome the expertise that consultants and service providers bring to the Total Rewards community. To ensure the integrity of our educational content and provide clear, transparent opportunities for brand engagement, all vendor-affiliated speakers must participate through one of the two pathways below:

Pathway 1: Sponsored Sessions (Pay-to-Present)

Consultants and service providers may participate through a sponsored session as part of a paid sponsorship package. All sponsored sessions are clearly labeled as such and provide opportunities for visibility, education, and attendee engagement.

Sponsored Session Formats

Educational Session (45 Minutes)

Focus:
Thought leadership, research, or client case study.

Promotion:
Must remain educational—no direct product pitches or sales messaging.

Template Requirement:
Must use the conference-branded PowerPoint template, with sponsor logo included as “Brought to you by [Company Name].”

Giveaways & Scanning:

  • Badge scanning is not permitted.
  • You may offer a giveaway or raffle, provided attendees voluntarily submit their contact information (e.g., via QR code or sign-up form).

Ideal for:
Establishing expertise, delivering valuable insights, or showcasing client success stories.

Breakfast Briefing (60 Minutes)

Focus:
Demo-style session hosted with breakfast.

Promotion:
Fully promotional/brand-forward.

Template Requirement:
Company-branded slides permitted.

Giveaways & Scanning:

  • Fully permitted - badge scanning and giveaways encouraged.

Ideal for:
High-engagement, high-touch product conversations in a relaxed setting.

Showcase Session (30 Minutes)

Focus:
Product demonstration or solution overview
Promotion: Product-forward messaging is allowed.

Template Requirement:
Company-branded slides permitted.

Giveaways & Scanning:

  • Fully permitted - badge scanning and promotional item distribution allowed.

Ideal for:
Highlighting features, functionality, or innovation

Pathway 2: Merit-Based Selection (Exception Only)

A small number of exceptional, consultant-led sessions may be accepted into the program through a rigorous, merit-based review. These are not paid opportunities and are reserved for content of outstanding value to our audience.

Eligibility Requirements:

  • Must be co-presented with a practitioner or client.
  • Content must be educational, non-promotional, and practitioner-focused.
  • Only one consultant/service provider speaker per session.
  • No complimentary registration for consultant or service provider unless granted by the Events team.
     

Rigorous Review & Restrictions:

  • Submissions undergo a more stringent blind review.
  • Full case study content must be submitted for review.
  • Products/services may not be positioned as “the solution.”
  • Giveaways, badge scanning, and branding are not allowed.
  • Must use the official conference PowerPoint template (no logos or marketing content).
  • We reserve the right to limit the number of accepted merit-based sessions per company.
